A side-by-side comparison for Thai SMEs: what each option gives you, what it commits you to, and how to move from one to the other.

Short answer
Virtual office vs a physical office lease: what is the real difference, and which one fits your business?
A virtual office gives you a provider's business address for company registration and mail, without renting desk space. A physical lease gives you your own space to work in and receive clients. Under Thai law both can be used to register a company, provided the landlord's consent letter is in order. The real difference is commitment, speed of setup and who maintains the premises — not legality.
Both routes support company registration and VAT registration when the consent letter and location map are complete.
A virtual office starts fast with no long lease, suiting early-stage companies and teams that work off-site.
A physical office fits when you have several full-time staff, hold stock, or need a place customers walk into.
Some licences inspect the premises themselves — warehousing, food, clinics — and those require real space.
Side-by-side comparison
Criterion
Virtual Office
Physical office lease
Usually better
Usable for company registration
Yes, when the provider issues a consent letter, house-registration copy, owner ID copy and a location map.
Yes, using the lease agreement plus the landlord's consent as proof of the registered office.
Equal
Contractual commitment
Monthly or yearly by plan, with no space deposit and no fit-out spend.
Typically a one- to three-year lease, two to three months' deposit, and fit-out paid up front.
Virtual office
Time to start
The address is usable within a few working days once documents are complete.
Search, negotiation, fit-out and utilities usually take weeks to months.
Virtual office
Mail and documents
Staff receive, notify and forward on an agreed cycle, so official letters are not missed.
Someone must be present; if the office is closed, important letters can be returned to sender.
Virtual office
Daily working space
No dedicated desk; meeting rooms or co-working come as allocated hours in the plan.
Your own space full time, with free rein over layout and storage.
Physical office
Receiving clients on site
Meeting rooms can be booked ahead — good for scheduled meetings, not daily walk-ins.
Clients can come any working day, and you fully control the brand environment.
Physical office
Facility management
The provider handles building, cleaning, internet and security.
You handle repairs, cleaning, insurance and utilities yourself.
Virtual office
Scaling or moving
Upgrade or downgrade at renewal, with no relocation cost.
Early exit risks penalties or the deposit, and the address change must be filed with the authorities.
Virtual office
VAT registration and site checks
VAT registration is possible and we support Revenue Department checks, but tell us ahead so staff are on site.
Checks happen at your own premises, provided the signage and space match the filing.
Equal
Total cost
Low fixed cost with no large up-front investment; ask for a quote based on the plan you pick.
Rent, deposit, fit-out, utilities and upkeep all stack up each month.

Choose a virtual office when
You are registering a new company and need a usable address immediately.
Your team works from home, on the road, or online.
You do not want to lock into a long lease and prefer a low fixed cost.
You want a business-district address without paying that district's full rent.
You need someone to receive mail and flag official letters.
Choose a physical office when
You have full-time staff who must sit together every day.
You store stock or equipment, or run production.
The business needs a storefront or a service room customers enter.
Your licence sets requirements on the premises — food, warehousing, clinics, schools.
What actually drives the cost
We publish cost drivers rather than a price list, because plans and add-ons differ per company. Ask us for a quote and you get one figure covering everything you actually need.
Why a virtual office costs less
No space deposit, fit-out, furniture, electricity, water, cleaning or property insurance — the building service covers all of it.
Costs often forgotten in a real lease
Common-area fees, parking, business internet, maintenance, restoring the space on exit, and the salary of a receptionist or admin.
Costs both options share
Bookkeeping and tax filing, the annual audit, website and marketing, and government fees for whatever you file.
The practical path: start virtual, lease later
1
Start with a virtual office at incorporation
Register with our address so the company exists and can invoice, sign contracts and open a bank account.
2
Prove revenue before committing to space
Watch monthly revenue and real headcount for six to twelve months before deciding how much space you need.
3
Change the registered address properly
When you are ready to lease, we file the address change with the DBD, notify the Revenue Department, Social Security and your bank, and align documents and website.
4
Keep an address for mail if it helps
Many companies keep the mail service so official letters are never returned on days nobody is in.
Questions we get asked
Can a virtual office really be used to register a company, and is it legal?
Yes, and it is legal. Thai law requires a company to have an identifiable, contactable registered office; it does not require space the company leases full time. What matters is the owner's consent letter and supporting documents, which we issue for every client.
Will a bank open a corporate account for a company at a virtual office?
Yes, though criteria differ by bank and branch. Some ask for the service agreement, a director interview or extra proof of activity. We prepare the full document set, but approval is the bank's decision.
Can I register for VAT at a virtual office?
Yes, on a plan that supports VAT registration, and tell us in advance: the Revenue Department may inspect. We arrange staff presence, company signage and the documents that must be shown.
What is involved in moving from a virtual office to a real lease?
File the address change with the DBD, notify the Revenue Department (and Form Phor.Phor.09 if VAT-registered), update Social Security and your bank, then align tax invoices, website and business profiles. We can handle it as one package.
Can several companies share one address without problems?
Yes, and it is normal in office buildings. What matters is stating the unit or floor clearly on filings and keeping each company's mail separate, which our intake process already does.
Which businesses should not use a virtual office?
Businesses whose licence depends on the premises — restaurants, warehouses, factories, clinics, schools — or where customers come in daily. Those need real space; we can help you find it and review the lease.
Not sure which one fits you?
Tell us your headcount, whether customers visit you, and the licences you need. We will say plainly which option is right — including when the answer is a real lease.
