What a virtual office really includes in Thailand, and which businesses it suits

A virtual office is the use of a provider's real office address as your company's registered and correspondence address, together with the right-to-use documents needed for filings, mail and parcel reception, entity signage, and notification when something arrives. What it is not: a permanent desk, storage space, a shopfront or a production site. It suits service, consulting and software businesses, stockless trading, and companies whose teams work remotely.

How this works in practice

  1. 01

    Check that your activity can use this kind of address

    Work through three questions: does the activity need a premises-linked licence, does it hold stock, do customers come in? A yes to any means you need real premises as well. We say so up front when a case does not fit — finding out later costs far more.

  2. 02

    Ask to see the premises and the exact document set

    Before signing, view the building and ask for the list of documents the provider will issue: the consent letter, ownership proof, the premises' house registration, the consenting party's ID copy and a map. If they cannot issue the full set, your VAT application will run into trouble later.

    Agree the mail arrangements in writing

    Spell out who may accept mail, how and within how many working days you are notified, whether items can be opened and scanned, whether they can be forwarded, how long parcels are held, and how a court document or Revenue letter is escalated.

    Use one consistent form of the address

    Copy the address from your affidavit into tax invoices, contracts, bank records, business profiles and your website character for character, floor and unit included. Small differences get tax invoices rejected by corporate customers.

    Plan for an inspection

    At VAT registration or during a Revenue check, an officer may visit. Your signage should be up, someone should be there in business hours, and the right-to-use documents should be to hand. We arrange all three; the decision stays with the authority.

    Review each year whether it still fits

    As the team grows, stock appears or clients start visiting regularly, this arrangement may stop being enough. We flag it when we see the signs and sequence the address change so it disrupts as little as possible.

What goes wrong

An address sold as a line of text without a consent letter and ownership proof will block VAT registration or a bank account. Ask for the document list before paying.

Assuming desk space is included

It is not a right to use space daily. If the team needs to sit there or book rooms often, agree meeting-room use separately from the start.

Storing stock at the registered address

Shipping goods to be stored at the registered address is not available and makes the address inconsistent with the activity you declared. If you need stock, get real space and consider branch registration.

Nobody following up on incoming documents

The provider notifies, but nobody inside the company owns the follow-up — that is how filing and response deadlines get missed. Name one responsible person.

Can a virtual office really be used to register a company and for VAT?

Yes for DBD company registration when the right-to-use documents are complete, and yes for VAT when the premises and paperwork meet Revenue Department requirements, including signage and being available for inspection. We prepare everything on our side, but approval is the authority's decision, so we never promise an outcome or a date.

How is this different from a co-working space that also allows registration?

The difference is the document set and continuity. What you actually need is the consent letter, ownership proof, signage and someone receiving documents every working day — not access to a desk. Ask directly which documents they issue and who meets an inspecting officer.

Will clients or banks see it as less credible?

What counterparties and banks look for is an address that is verifiable, reachable, and consistent with the register. A real office with people and signage meets that. Each bank sets its own account-opening conditions; some want directors in person and a look at the premises, which can be arranged at our office.

How does it work if I live upcountry or abroad?

We notify you on every arrival and send an image of the envelope first. You choose whether it is opened and scanned, held, or forwarded to an address you nominate. Deadline-bearing items such as Revenue letters or court documents are escalated so you keep decision time.

What does the agreement look like and how is it renewed?

A written agreement setting out scope, mail handling, term and termination. It renews for agreed periods. If you do not renew, the registered address must move and the authorities be notified, so we give advance notice to leave time for the amendment filing.

Which businesses do you tell plainly it cannot serve?

Anything needing a premises-linked licence or an activity-specific site inspection: restaurants, clinics and healthcare, entertainment venues, factories and manufacturing, warehousing, and businesses that must keep controlled goods on site. For those we help plan a lawful alternative instead.
