Registering a company in Songkhla and Hat Yai: cross-border trade, rubber and seafood exports

How to incorporate in Songkhla and Hat Yai: the provincial filing point, the address decision, the cross-border trade with Malaysia, rubber, seafood and Hat Yai service businesses, and the tax work that follows.

Zura Labs & Business Hub Co., Ltd.

Short answer

A Songkhla company is filed at the Songkhla Provincial Business Development Office or online through DBD e-Registration. Steps and documents match the rest of Thailand; what differs here is that most businesses trade or export, so VAT, exporter status and customs paperwork should be planned together with incorporation. We hold no office in Songkhla, so you register at your own address there or use our Bangkok or Khon Kaen office address.

Step by step

How this works in practice

  1. 01

Choose the address to match the goods

With a warehouse, cold room or buying yard you must use the real premises in Songkhla, because premises inspection and VAT registration look at the site. Brokerage, consulting or online trade can register at our Bangkok or Khon Kaen office address.

  2. 02

Reserve the name and cover import-export in the objectives

Prepare three name options and cover trading, import, export and distribution in the objectives, because exporter privileges and foreign-trade bank accounts are checked against the objectives on the affidavit.

  3. 03

File, get the tax ID, then register for VAT

File the set at the Songkhla provincial office or online. Once the affidavit is issued, obtain the tax ID. Exporters usually register for VAT from day one to reclaim input VAT rather than waiting for the turnover threshold.

  4. 04

Set up multi-currency books and payroll

Trade with Malaysia mixes ringgit and dollars, so the chart of accounts should record exchange rates and FX gains or losses separately. Register as an employer with Social Security within 30 days of the first hire.

What goes wrong

Reasons this gets delayed or rejected

Cross-border sales without proper customs paperwork

Moving goods with paperwork that does not match the tax invoice blocks input VAT refunds and invites assessment. Keep the invoice, customs declaration and sales contract consistent.

Taking payment into a personal account

Rubber and seafood are often paid in cash or personal transfers, so company income stops matching cash flow and can be reassessed later. Open a company account and route every transaction through it.

Forgetting withholding tax on smallholder purchases

Freight, sorting labour and small service payments require withholding tax and a certificate. If you do not withhold, the company absorbs the cost later.

Questions

Answers to the questions we hear most

I am in Hat Yai — can I register in Bangkok?

Yes, if you have no warehouse or storefront requiring a local permit. The company is registered in Bangkok while you operate from Hat Yai.

Do I also need a Malaysian company?

Not for exporting from Thailand — a Thai company can sell and invoice on its own. Holding stock or staff inside Malaysia is Malaysian law and outside the services we provide.

Should I register for VAT immediately?

If you buy inputs or export heavily, registering early lets you reclaim input VAT, at the cost of monthly filings. We look at your actual figures before advising.

Do you have a team in Songkhla?

No. We work remotely from Bangkok and Khon Kaen for documents, filing and monthly accounting.
